Relationships Are Everything
Recently, one of our national clients asked for some suggestions for running and maintaining effective committees. This prompted us to do a quick survey of a number of companies, ranging in size from 15 employees to Fortune 500. Not surprising to us was the universal desire to have better committee structure and more productive output.
 
The following tips will help you focus on the key practices of a well-run committee that keeps the members engaged and delivers results.
Committee Tips:
Clearly set limits and expectations
Make sure the committee has a clear and specific understanding of its goals and expectations. Include what they are empowered to do and not to do and what their budget is.
Participate - don't pontificate
Use your experience and knowledge to help and collaborate. Do not appear frustrated or disengaged. If you are, then the committee has not been set up or managed properly.
Acknowledge work well done
Few things are more de-motivating than working hard on a committee project and either not getting feedback or being told you are "off track". Input must be recognized and appreciated. Being "off track" is symptomatic of a poor committee structure or management.
Don't push people to take on more than they are willing to
Let people take on small scale specialist roles if that's what they have to give.
Rotate jobs
People are more likely to step up for jobs if they know they can step down after a set period of time.
Divide up roles where possible
Allow goals and steps to be collaborated on.
Always run meetings to time
Start and end on time. Publish the time blocks ahead of time.
Find the right place for your meetings
You will get better attendance and make better decisions if you are warm, comfortable and thirst free.
Nothing beats face to face
Teleconferencing is good for information sharing. However, the best work, ingenuity and progress is made in face to face meetings.
Make sure everyone is "in the loop"
Beware of excluding people on emails or decisions made by informal groups within the committee. People who feel left out will drop out.
Remember, you all share the responsibility
It's not just the Chair who carries the responsibility of success. Don't say 'What are you going to do?" Say, "What are we going to do?"
